Booth activation guide

Everything you need to run a clean, on-brand Everyday Weekend pop-up at Java Jazz.

3 days 30,000 / day 1,440 FOC cans
Location 1
D15 — Main booth
Main traffic corridor — highest footfall
Primary activation. Sits in the main corridor between halls — maximum continuous foot traffic across all 3 days. Priority location. Staff this first, stock it heaviest.
Highest trafficPriorityPermanent
Location 2
L02 — Cart / booth
Food & beverage zone
Positioned in the dedicated F&B area — highest dwell time of any location. Guests eating and relaxing are most likely to buy a drink. Strong all-day trade, peaks at lunch and dinner rush.
F&B zoneHigh dwellAll day
Location 3
E08 — South booth
Southern section, Hall 9A entrance

01
D15 is priority — staff it first

Highest foot traffic of the three locations. Ensure your most experienced staff member is here. Never leave D15 unmanned during open hours.

02
D15 stocks first — FOC flows from there

Run FOC stock through D15 first. L02 and E08 top up from the same pool. Every box transfer must be logged with a sign-off in this app — no exceptions.

03
Gazebo cart peaks at night

Stage crowd builds from late afternoon. Prioritise ice replenishment at the cart by 4PM each day. Position staff to face stage exit.

04
Power access — confirm all 3 locations

Each location needs independent power confirmation with Java Jazz organiser before load-in. Don't assume shared circuits. Extension cords run behind booth — never across walkways.

☂️
Umbrellas / shade
×2 minimum
Large market umbrellas or pop-up gazebo. Essential — outdoor festival, full sun exposure. EDW branded preferred.

Branding
Day before
Stock count — Count and record all cans per location. Take a photo and send to Mian. Reconcile against app totals.
Ice sourcing — Confirm ice supplier for next morning. Order: 15kg D15, 10kg L02, 8kg E08. Arrange delivery or pickup before 8AM.
Power confirmation — Confirm power access at all 3 locations with Java Jazz ops. Note circuit numbers. Set alarms for setup call.
Staff briefing — WhatsApp brief to all staff: their location, start time, FOC vs own stock split, sign-off procedure.
07:00
All staff on site — load-in begins — All three booths staffed simultaneously. Do not begin setup at one location while others are unstaffed.
Power first — Run cables before anything else. Confirm power is live at each booth. If no power, escalate to Java Jazz ops immediately — do not proceed setup without it.
07:30
Booth structure up — Counter, branding wall, umbrellas. D15 priority — must be complete by 08:15. L02 and E08 complete by 08:30.
Ice in fridges / chests — Ice must be in and cans loaded by 08:00 at the latest. Cans need minimum 2 hours to reach serving temp.
Stock distributed and logged — Open stock count per location, entered in this app. Sign off the opening allocation — each location lead signs for their opening boxes.
08:30
Display props set — Mangos and limes arranged on counter. Signage and price boards in place. Branded materials up. Photo sent to Mian before doors open.
Staff briefed at location — Quick 5-min standup at each booth: FOC priority, sign-off on every box, ice check protocol, escalation contact.
10:00 — Doors open
All booths live — D15, L02, E08 operational. Every sale logged by box immediately via this app with sign-off. No exceptions.
Hourly counter wipe — Clean counter surface every hour. Replace any damaged display fruit. Keep umbrella angles adjusted for sun direction.
12:30
L02 lunch peak — F&B zone hits peak traffic. Ensure L02 is fully stocked and staffed. Do not pull staff from L02 between 12:00–14:00.
Mid-day stock check — All location leads check and report remaining boxes to Mian via WhatsApp. Flag if any location is below 5 boxes.
Ice replenishment — Top up ice at all locations. Don't wait until it's gone. Add ice before noon heat peak.
Display fruit refresh — Replace wilted mangos and limes. Fresh display through the afternoon is non-negotiable.
16:00
Afternoon stock redistribution — Review sell-through across all 3 locations. Move slow-moving stock to faster-moving booth. All transfers logged + signed off.
Evening ice load — Major ice top-up at L02 especially — F&B dwell time increases through dinner. D15 corridor also stays busy into evening.
Lights on — Activate LED strip and spot lighting at all booths. Warm lighting significantly increases visibility and draw as daylight fades.
19:00
Evening peak — all hands — Peak dwell at L02 F&B zone and D15 corridor. Do not rotate staff off booths during this window. Highest revenue period of the day.
FOC stock monitor — If FOC runs out mid-evening, transition cleanly to own stock. Communicate to all booths simultaneously so pricing and messaging stays consistent.
22:00 — Close
Closing stock count — Count remaining cans at every location. Reconcile against app sales log. Photograph unsold stock.
Secure stock — All unsold cans locked in designated secure storage. Do not leave stock at booth overnight.
End of day report to Mian — Total cans sold, revenue, FOC vs own stock split, any incidents. Send via WhatsApp before leaving site.
Booth secured — Branding materials stored or locked. Perishable display props disposed of. Cables coiled and stored. Site left clean.
